Gas & ESG Reporting | Fuel Data, Boundaries & Evidence

An emissions calculation should be traceable to fuel use, units, reporting boundaries and a documented method. A green supplier label is not a replacement for that record.

Keep a fuel inventory that can be reconciled

Activity data

Retain service periods, corrected invoices and conversion factors. Reconcile the reporting year with billing periods and document any estimates.

Method and boundary

Identify the applicable reporting framework and responsible reviewer. Keep direct fuel consumption separate from purchased electricity and value-chain estimates.

Claims and instruments

Track measured efficiency reductions separately from purchased offsets or renewable-gas attributes. Retain ownership and retirement evidence where relevant.

EPA resources provide environmental context, but reporting treatment depends on the organization’s applicable framework. Do not assume an instrument erases physical combustion emissions or guarantees a particular disclosure outcome.

Worked review: a corrected invoice crosses the reporting year

Suppose a December service period is initially estimated and a correction arrives in January. A reporting process based only on the month a payment was made can place consumption in the wrong boundary or count both documents. The responsible reviewer needs a consistent method for service periods, corrections and any necessary estimates.

Retain the original and corrected records, the unit conversion and the reason for the reporting treatment. Reconcile fuel activity before applying an emissions method or discussing environmental attributes. Keep a measured operational reduction separate from an offset purchase and document which statement each record supports. Do not assume that a lower financial bill proves a proportional emissions reduction: a commodity-price change can lower dollars without changing the fuel quantity.

Set the inventory boundary before applying a factor

EPA distinguishes direct emissions from owned or controlled sources from indirect emissions associated with purchased energy. Its stationary-combustion guidance addresses fuel burned within the inventory boundary. Establish which facilities and service periods belong in the inventory before converting invoices. A financial payment date or a supplier’s green label does not by itself determine the reporting treatment. EPA: inventory boundaries and direct versus indirect emissions; EPA: direct greenhouse gas emissions from stationary combustion.

Maintain a correction trail for activity data

Retain fuel quantity, original unit, conversion basis, service dates, estimate status and replacement invoice links. Reconcile energy activity independently of dollars, then apply the reviewed method and factors. Keep operational reductions and purchased environmental instruments in separate schedules. Have the responsible reviewer approve both the accounting treatment and the exact external statement; avoid using an offset certificate to imply that no combustion occurred. FTC: environmental claims and carbon-offset substantiation.

A reporting close that reconciles energy and claims separately

Close the fuel-activity ledger before calculating emissions, and retain documented estimates for missing periods. Keep any subsequent correction traceable to the original report and explain whether a restatement or later adjustment is appropriate under the selected framework. Reconcile purchased instruments to their own records and ownership conditions. Name the person approving the inventory method and the person approving public wording. A lower supply bill, a lower fuel quantity and a purchased offset are three different pieces of evidence.

Use the appropriate planning tool

Gas unit converter: Normalize fuel activity with a documented basis; apply emissions factors and reporting rules in the separately reviewed inventory method.

A practical next step

Put the full contract in view.

Ask about your utility, supply terms or renewal. Keep account numbers and documents out of the initial inquiry.
